Your print ordering portal
What is a bespoke print ordering portal?
A bespoke print ordering portal is a branded online catalogue built around the products your business buys. Teams choose approved print, personalise artwork where permitted and order using agreed pricing and approval rules. Print Portals provides the ordering system and manages production and fulfilment for the products purchased through it.
Is a print ordering portal the same as Web2Print?
Web2Print, also called web-to-print, describes ordering and, where supported, personalising print online. Your print portal is the branded environment your users access. Ours combines an agreed product catalogue with artwork, permissions, checkout and fulfilment. Read more about what Web2Print is and who we work with.
Is the print portal really free?
There are no portal setup fees, ongoing portal subscriptions or per-user platform fees. We agree your products and pricing and build the portal around your requirements. You pay for the products ordered and any applicable delivery or additional services. Free access to the portal does not mean the printed products are free.
What printed products can our catalogue include?
Your agreed range can include business cards, letterheads, compliment slips, leaflets, brochures, booklets, presentation folders, posters, notepads and other supported print. We review your specifications, quantities, paper stocks and finishes before agreeing the catalogue and pricing. Your portal can also include workwear, merchandise and other branded products where required.
Can branches and departments use the same portal?
Yes. One portal can serve multiple branches and departments, with product access configured around their responsibilities. Shared stationery can sit alongside branch-specific designs and departmental materials. Local users can order for themselves, while a central team can coordinate campaign orders for several locations.
Can we use our own branding on the ordering portal?
Yes. Your portal is built around your organisation’s branding, including your logos, colours and agreed catalogue designs. Editable templates can use your own brand fonts, subject to suitable font files and licensing. The products, artwork permissions and ordering process are configured around your users rather than a generic public print shop.
Do users need to request a quote every time they order?
Catalogue products use agreed specifications and pricing, so users can order the available options without requesting a fresh quote for each purchase. A new specification or requirement outside the established range may need a separate quotation. We agree any new pricing before adding the relevant setup to your catalogue.
How do we move our existing print ordering into a portal?
Share the products you buy, your artwork, specifications, typical quantities and delivery requirements. We agree the range and pricing, then configure user access, artwork options, payment and approval arrangements. We also review any stockholding requirements and help your teams become familiar with the ordering process.
Artwork and ordering control
Can staff personalise business cards and stationery themselves?
Yes. Artwork Builder templates let users enter permitted details such as names, job titles, contact information and branch addresses. Other design elements remain controlled. Users generate and review a proof before ordering, and customised orders can require manager sign-off where configured.
Can our templates use our exact brand fonts and CMYK colours?
Templates can use the brand fonts and CMYK colour values agreed during setup. We review supplied font files and licensing requirements before configuring the design. Generated print PDFs follow the configured artwork settings; a screen preview cannot guarantee an exact match to the finished print, which also depends on stock and production conditions.
Can we upload our own print-ready PDFs?
Yes. Select a preset upload-enabled product, choose the available options and upload your PDF. The portal checks requirements including dimensions, page count, bleed and crop marks. Users review the results and preview, then approve the artwork before adding it to the basket. The uploaded PDF stays linked to the ordered item.
What print colour checks are available for uploaded artwork?
Users can inspect detected colours, CMYK values, coverage percentages and grouped similar shades. Spot and Pantone colours are highlighted by name where available, and alternative black mixes are flagged. If RGB is detected, a CMYK-adjusted preview helps users assess expected changes without overwriting the original PDF. These checks do not automatically enforce your brand palette.
Can we preview artwork for coated and uncoated paper?
Where configured, the uploaded-artwork preview uses the print profile associated with the product’s stock. This helps users assess how colours may reproduce on coated or uncoated paper before approving their file. The preview is a guide to the expected result and cannot guarantee an exact printed colour match.
Can our marketing team update catalogue artwork and add designs?
Authorised Artwork Managers can replace PDFs, review artwork checks and approve updated designs for future orders. They can also create folders, choose visibility and add new designs through the guided wizard using preset specifications and pricing. Replacing catalogue artwork does not change artwork attached to existing orders or physical copies already printed.
Can we restrict print products and require order approvals?
Yes. Product Visibility controls access to categories and products by relevant groups, roles, departments or named users. Approval rules can cover selected users, categories, order values and Artwork Builder customisations. Approvers review artwork, quantities, pricing and destinations before accepting or rejecting requests that require sign-off.
Can we reuse personalised artwork for repeat print orders?
Artwork Builder supports reusing previous text, images and image placement for a reprint or an updated version. Users should check the details and generate a current proof before ordering. Standard catalogue products also retain their approved artwork for future purchases, reducing the need to send the same file again.
Stock, payments and delivery
Can we buy print in bulk and order smaller batches later?
Suitable products can be produced in bulk and stored in our UK warehouses. Authorised teams call off smaller quantities as needed, combining bulk-production savings with more manageable deliveries. We agree stockholding around the products, quantities and how often your artwork changes.
Can we see how much printed stock is available?
Live warehouse stock feeds display availability in your portal around the clock. Low-stock notifications help your team plan replenishment. This is useful for shared leaflets, stationery and other regularly used materials that several branches or departments call off from central stock.
Can one print order go to several delivery addresses?
Yes. Split Deliveries lets you assign quantities of the same product to different addresses, or send different products to different destinations in one checkout. Choose saved locations or enter new addresses, allocate the materials and review quantity checks, charges and any additional lead time. Each allocation remains recorded with the order.
Can you dispatch printed materials internationally?
Yes. We can hold suitable products in our UK warehouses and dispatch to UK and international destinations. Share your locations and products so we can confirm availability, delivery arrangements and pricing. Applicable charges and any additional delivery requirements need to be considered when planning your orders.
Can print purchases be allocated to teams and budgets?
Your portal can reflect how your business pays for and allocates purchases across teams, branches and budgets. Prepaid stock can appear at £0 for authorised call-offs, while other products display an agreed cost. Reporting and approval requirements are configured around the arrangements established for your organisation.
Can users pay by card or use monthly invoicing?
Individual card purchases, agreed account arrangements and consolidated monthly invoicing can be configured around your business. We establish which users and orders follow each payment arrangement during setup. Product costs and any applicable delivery or additional services remain payable under those agreed terms.
How do we plan print for a fixed campaign date?
Tell us the date, products, quantities, artwork status and delivery destinations so we can confirm achievable arrangements. Production, artwork approval, manager sign-off and delivery all need to fit the schedule. Existing warehouse stock and newly printed products may have different lead times, which should be checked before ordering.
Can we try a print ordering portal before getting started?
Yes. Explore the demo portal to see the ordering experience, or contact our team to discuss your products and requirements. We can explain the relevant artwork, approval, stock and delivery options before agreeing your catalogue and building your free portal.
