How branding, franchisee ordering, payments and fulfilment work together.

Franchisee ordering

What is a Web2Print portal for a franchise business?

A franchise Web2Print portal is a branded online ordering system where franchisees buy approved print and branded products. It combines your agreed catalogue, artwork templates, product pricing and ordering permissions. Print Portals configures the system around your franchise network and supports the production and fulfilment of the products ordered through it.

Can franchisees order marketing materials without contacting head office?

Yes. Authorised franchisees can log in, choose from the products available to them and place their own orders. Where a design allows personalisation, they can enter permitted local details and check a proof. Orders that meet your automatic approval rules can proceed, while requests needing sign-off are sent to the appropriate approver.

What products can a franchise network order through the portal?

The catalogue can include branded stationery, flyers, posters, promotional materials, signage, workwear and merchandise. We agree the products and specifications around your franchise model, whether you need customer-facing marketing, staff clothing or materials for new locations. Products and pricing are established before users begin ordering from the range.

Can each franchisee pay for their own print and branded materials?

Yes. Franchisees can purchase their own products by card through the portal. We can also agree account arrangements for purchases funded centrally. If your network has a mixture of independent franchisee purchases and centrally supplied materials, we configure the payment and ordering process around those requirements during setup.

Can head office fund some products while franchisees buy other items themselves?

Your portal can support different purchasing arrangements, including prepaid warehouse stock and products purchased by individual users. Prepaid stock can appear at £0 for authorised call-offs, while other items show their agreed price. We work with you to establish which teams or budgets costs belong to and how the relevant orders should be paid for and approved.

Can franchisees reorder materials without sending the artwork again?

Approved catalogue products retain their artwork for future orders, so franchisees can return to the portal rather than sending a design back to a supplier. Artwork Builder also supports reusing artwork details. Users should review local information, offers and quantities before ordering, particularly when campaign content or contact details have changed.

Branding and permissions

How can we keep franchise marketing on brand while allowing local changes?

Artwork Builder templates can make selected details editable while keeping other design elements controlled. For example, franchisees could enter an approved address, telephone number or local offer without changing the logo or layout. You decide which fields are available to edit, and users review a proof before ordering. Customised orders can also require approval if your rules call for it.

Can different franchise brands or locations see different products?

Yes. Product Visibility can show or hide products and categories for particular user groups, roles, locations or individuals. This allows a network to separate relevant ranges within the same portal. A franchisee sees the materials made available to their account, helping prevent orders for another brand’s designs or products intended for a different part of the business.

Can franchise orders require brand or manager approval before production?

Yes. Approval rules can be configured around users, product categories, order values and Artwork Builder customisations. Approvers can review the artwork, products, quantities, prices and delivery information before accepting or rejecting a request. Orders requiring sign-off stay on hold until accepted. Trusted users and selected routine purchases can be configured to proceed automatically.

Can regional managers approve orders for the franchises they oversee?

Approver permissions can combine user groups and product categories, allowing review access to be configured around your network. For example, a regional manager could review relevant orders from assigned franchise groups, while marketing handles selected branded materials. Multiple approvers can cover the same orders to help maintain access to sign-off when someone is unavailable.

Can our marketing team update franchise artwork themselves?

Authorised Artwork Managers can upload replacement PDFs, review the artwork checks and approve updated catalogue artwork. They can also add new designs using preset product specifications and pricing, organise folders and control which user groups can see them. The approved replacement becomes available for future orders; artwork already attached to an existing order is retained with that order.

Can we add new franchisees and remove access when someone leaves?

Yes. Account Access supports managing user accounts and permissions, including adding users in bulk and removing access when required. Your team can manage access as the franchise network changes, with support from us when you need help configuring new locations or groups. New accounts should be assigned the appropriate catalogue visibility and ordering permissions before they begin purchasing.

Stock, delivery and setup

Can we supply a new franchise location through the portal?

Yes. Your agreed catalogue can hold the branded materials a new location needs, such as launch print, signage and workwear. Give the franchisee the relevant product access, let them personalise permitted details and review the proof, then place the order using your payment and approval process. We agree production and delivery arrangements around the selected products and opening requirements.

Can one campaign order be delivered to several franchise locations?

Yes. Split Deliveries lets a central team allocate quantities of one product between addresses or send different products to different destinations within one checkout. Users can choose saved locations from the address book or add another address. Quantity checks, delivery costs and any additional lead time are shown before the order is placed.

Can we bulk buy products and let franchisees call them off as needed?

Suitable regularly used products can be produced in bulk and held in our UK warehouses. Authorised franchisees then call off smaller quantities through the portal. Live warehouse stock feeds show what is available, and low-stock notifications help the central team plan replenishment. We agree the products, ownership, payment and fulfilment arrangements with you during setup.

Can we see which franchisees are ordering and where materials are going?

Reporting can show who is ordering stock and the delivery destinations, supporting clearer visibility of usage across your network. Where costs are allocated to teams, venues or budgets, the reporting supports that agreed setup. Approval rules also allow managers to review requests before they proceed and reject excessive or unnecessary use of shared stock.

Do you charge a subscription for each franchisee or user?

Print Portals does not charge a portal subscription, setup fee or per-user platform fee. Your franchisees pay for the products and any applicable delivery or additional services under the arrangements agreed for your portal. This allows the ordering system to grow with your network without adding a recurring portal charge for each new account.

How do we set up a Web2Print portal for our franchise network?

We begin by understanding your brands, franchisees, locations and current purchasing process. Share the products, artwork and specifications you already use so we can agree the catalogue and pricing. We then configure templates, product visibility, payment arrangements and approval rules, and help your users become familiar with ordering before launch.

Help your franchisees order. Help your brand grow.

Tell us how your network buys its branded materials. We’ll show you a simpler approach, with no portal setup fees or subscription.
