Reviewed replacement artwork becomes available for future orders, keeping the catalogue easier to maintain.

Artwork and catalogue access

What is a Web2Print portal for a pharmaceutical company?

A pharmaceutical Web2Print portal is a branded online ordering system for your organisation’s approved printed and branded materials. Users order from an agreed catalogue under your access and order approval rules. Print Portals connects those requests with print production, stockholding and fulfilment for the products you purchase.

Can our team upload the print-ready artwork we have already approved?

Yes. Authorised Artwork Managers can upload PDFs to catalogue products or add new designs using preset specifications and pricing. Upload Your Own Artwork also lets permitted users attach a finished PDF to a preset product for an individual order. Your organisation supplies the approved content, while the portal checks the file against the selected product’s print requirements.

What happens when we replace a catalogue PDF?

Once reviewed and approved in the portal, replacement artwork becomes available for future orders of that product. Artwork already attached to an existing order remains with that order. Replacing a PDF does not change copies already printed or held in stock; stock arrangements need to be reviewed separately when a design changes.

Can different field teams or departments see different materials?

Yes. Product Visibility can show or hide categories and individual products by user group, role, department, team or named user. Authorised Artwork Managers can also organise folders and choose which groups can see them. The access setup reflects the product ranges your organisation wants each group to be able to order.

Can we remove materials that should no longer be available to order?

Authorised Artwork Managers can remove products that are no longer needed, and product or folder visibility can restrict which users can access a range. Your team decides what should remain available in the catalogue. Existing orders and any physical stock should be reviewed separately when your organisation withdraws or replaces a printed design.

Can selected contact details be personalised without changing the full design?

Yes. Artwork Builder templates can expose permitted fields, such as names or contact information, while keeping other design elements controlled. Users review a proof before ordering, and customised orders can require sign-off where configured. Your team decides which designs are suitable for personalisation and what details users may change.

Ordering and oversight

Can field teams order standard materials without marketing handling every request?

Authorised users can select and order the catalogue products available to their accounts. This reduces the need to resend artwork or arrange each request by email. Your organisation retains control of the range, visibility and approval rules, so suitable routine orders can proceed while other requests go to a relevant approver.

Can orders require review before the materials are produced or dispatched?

Yes. Order approval rules can be configured around users, product categories, order values and Artwork Builder customisations. Approvers can review the artwork, quantities, prices and delivery details before accepting or rejecting a request. Orders requiring sign-off stay on hold until accepted under your configured process.

Can approval responsibilities be divided between different managers?

Approver permissions can combine user groups and product categories, allowing review access to reflect the requests each person should oversee. Multiple approvers can cover the same orders. Relevant approvers receive email notifications and weekday reminders for outstanding requests they can review.

What does the PDF artwork checker review?

The checks assess the uploaded file against the product’s print requirements, including dimensions, page count, bleed and crop marks. Users can review a preview, detected colours and the results before proceeding. Your organisation’s own content approval takes place around the artwork you choose to supply and make available in the catalogue.

Can we see who is requesting printed stock and where it is going?

Reporting can show who is ordering stock and its delivery destinations. Where costs are allocated to teams or budgets, reporting supports that agreed setup. Approval rules also let managers review requests and reject excessive or unnecessary use of shared materials before those requests proceed.

Can print purchases be allocated to different teams and budgets?

Your portal can be configured around how your organisation pays for and allocates purchases, including relevant departments, teams and budgets. Prepaid warehouse stock can appear at £0 for authorised call-offs, while other products show an agreed cost. We establish the account, reporting and approval arrangements with you during setup.

Stock, events and setup

Can we hold printed brochures and event materials in stock?

Suitable products can be produced in bulk and held in our UK warehouses for authorised users to call off in smaller quantities. Live warehouse stock feeds show availability, and low-stock notifications support replenishment planning. We agree the stockholding arrangements around your products, quantities and frequency of artwork changes.

Can one order be delivered to several teams or event locations?

Yes. Split Deliveries lets users divide quantities of the same product between addresses, or send different products to different destinations, within one checkout. Allocate what each location needs and review quantity checks, delivery costs and any additional lead time before ordering. Each address and allocation stays recorded with the order.

Can we save delivery addresses for repeat orders?

Yes. The address book lets users choose saved locations rather than re-entering delivery details for every order. New destinations can also be added during checkout. This gives teams a quicker starting point for regular distribution before allocating materials and reviewing the delivery details.

How do we plan printed materials for a fixed conference date?

Share the date, artwork status, products, quantities and delivery locations with our team so we can confirm achievable production and delivery arrangements. The portal helps organise the available range, quantities and destinations. Allow time for the artwork and order reviews your organisation requires before a request can proceed.

Are there setup fees or portal subscriptions for additional users?

Print Portals does not charge portal setup fees, an ongoing portal subscription or a per-user platform fee. Your business pays for products and any applicable delivery or additional services under the agreed order arrangements. We review the catalogue, access and ordering requirements with you before launch.

What do you need to configure a pharmaceutical print ordering portal?

We begin with your printed products, approved artwork, users and current request process. We agree specifications and pricing, then work through catalogue visibility, permitted artwork changes, payment and order approval requirements. Stockholding and event delivery needs are reviewed alongside those arrangements before users begin ordering.

Make approved materials easier to order.

Tell us how your teams request print and where the process gets held up. We’ll build a portal around your requirements, with no setup fees or subscription.
