Ordering across venues
What is a Web2Print portal for hospitality?
A hospitality Web2Print portal is a branded online ordering system where authorised teams order approved print and branded products for their venues. It can bring together product selection, artwork personalisation, proofs, approvals and delivery details. Print Portals configures the catalogue and ordering rules around your group and supports the production, stockholding and fulfilment of the products you buy.
Are Web2Print, web-to-print and print portals the same thing?
Web2Print and web-to-print describe ordering and, where supported, personalising print online. A print portal is the branded ordering environment your users log in to. With Print Portals, that environment is tailored to your organisation, with agreed products, artwork permissions, pricing and ordering rules. It can also include workwear, merchandise and stocked products alongside printed materials.
Can we centralise print ordering for a chain of bars or pubs?
Yes. Your bar or pub group can bring its approved materials into one portal while giving individual venues their own users and relevant product access. Local teams can order what they need without head office placing every order on their behalf. You retain control over the catalogue, artwork permissions and any orders that require approval.
Can restaurant groups and hotels use the same ordering system?
Yes. A portal can be configured for restaurant groups, hotels or hospitality businesses operating several types of venue. Product Visibility can give different brands, departments and teams access to the range relevant to them. For example, restaurant menus, hotel stationery and event materials can sit within the same portal while remaining available to the appropriate users.
What hospitality products can we order through the portal?
Your agreed catalogue can include menus, flyers, posters, table-talkers, promotional materials, signage, branded stationery, workwear and merchandise. We build the range around the products and specifications your group needs. Share your existing materials and purchasing requirements so we can review suitable options, agree pricing and organise the products in your portal.
How does a print portal reduce time spent ordering marketing materials?
It gives users one place to find agreed products, current artwork and pricing, rather than starting each request by emailing suppliers. Permitted artwork changes, proofs and approval decisions can be managed through the portal. Saved delivery addresses also help with repeat orders. The time saved depends on your current process and the way your portal is configured.
How would we roll out a seasonal campaign across our venues?
Marketing can add the approved menus, posters and promotional materials to the portal, with editable fields for permitted local details. Individual venues can order their allocation, or head office can place one split-delivery order for several locations. Requests follow your configured approval rules. Materials are then produced or called off from agreed warehouse stock and dispatched to the selected addresses.
Artwork and brand control
Can venues personalise menus and posters without changing our branding?
Yes. Artwork Builder templates can allow approved fields, such as venue details, event information or agreed local prices, to be edited while other design elements remain controlled. You decide which parts users can change. Users generate and review a proof before ordering. Artwork Builder warnings can flag low-resolution images or text below the configured minimum size. Configured approval rules can require a manager to check customised orders before production.
Can we use our own brand fonts and artwork in the portal?
Yes. Your portal and templates can be built around your branding, including your own fonts, logos and approved designs. We review the supplied font files and artwork during setup, including any font licensing requirements, and configure the editable elements around your brand rules. This helps local teams create relevant materials using the design choices agreed by your central team.
Can our marketing team upload finished artwork instead of using a template?
Yes. Upload Your Own Artwork lets a user select a preset product, upload a print-ready PDF and review the checks and preview before adding it to the basket. Checks include the selected product’s dimensions, page count, bleed and crop marks. Users can also review detected colours and a preview based on the configured print profile. Authorised Artwork Managers can also replace artwork on existing catalogue products or create new designs using preset specifications and pricing.
Can head office update seasonal campaign artwork for every venue?
Authorised Artwork Managers can replace a catalogue product’s PDF, review the artwork checks and approve the updated design. The approved version then becomes available for future orders of that product. Folders and product visibility help organise the campaign range for the relevant venues. Updating catalogue artwork does not change artwork already attached to an order.
Can different hospitality brands see different products?
Yes. Product Visibility can show or hide categories and individual products according to your users, venues, departments, roles or teams. A group operating several hospitality brands can keep their materials in one portal while giving users access to the relevant range. Authorised Artwork Managers can also organise folders and choose which user groups can see them.
Can we reorder materials without supplying the artwork again?
Approved catalogue products keep their artwork ready for future orders, so users can order the same design without sending it back to a supplier. Artwork Builder also supports reusing artwork details for repeat requirements. Users should check that the design, local information and quantities are still current before ordering, particularly when menus, promotions or venue details have changed.
Stock, budgets and setup
Can we buy print in bulk and let venues call off smaller quantities?
Yes. Suitable products can be produced in bulk and held in our UK warehouses for authorised venues and teams to call off as needed. The portal displays live warehouse stock levels around the clock, with low-stock notifications to help plan replenishment. We agree the products, quantities and fulfilment arrangements around your requirements.
Can we send one order to several hospitality venues?
Yes. Split Deliveries lets you divide quantities of the same product between addresses or send different products to different destinations within one checkout. Choose saved venues from your address book or add a new address, then allocate what each location should receive. Quantity checks, delivery charges and any additional lead time are shown before you place the order.
Can venue orders require approval before they are produced?
Yes. Approval rules can be configured around users, product categories, order values and Artwork Builder customisations. Relevant managers can review products, artwork, quantities, pricing and delivery details before approving or rejecting a request. Orders requiring approval stay on hold until accepted. Suitable routine orders or trusted users can be configured to proceed automatically.
Can we track venue spending and allocate orders to teams and budgets?
Your portal can be configured around the way your group pays for and allocates purchases, including relevant teams, venues and budgets. Prepaid warehouse stock can appear at £0, while other items can show a cost for allocation or purchase. Reporting shows who is ordering and where stock is going. We agree the account, payment and approval setup with you before launch.
Is there a setup fee or subscription for a hospitality print portal?
Print Portals does not charge portal setup fees or an ongoing portal subscription. Product pricing is agreed before your catalogue is built. Printed products, workwear, merchandise, stock purchases and any applicable delivery or additional services are paid for under the agreed order arrangements. The portal provides the ordering system for those purchases.
How do we move from emailing suppliers to using a Web2Print portal?
We start by discussing your venues, users, existing products and the ordering problems you want to solve. Share your artwork, specifications and delivery requirements so we can agree the range and pricing. We then configure your portal, permissions and approval rules, and help your teams get familiar with the ordering process before they begin using it.
