Who we work with Charities

Web2Print Portals for Charities

Give fundraising teams, local branches and volunteers a simpler way to order approved materials. Keep your message consistent, your spending visible and your campaign supplies ready for the people who need them.

One charity. Local teams ready to act.

Bring fundraising print, event materials, signage and branded clothing into one portal. Authorised users order from their relevant range, while your central team controls artwork and approvals. We manage production, stockholding and delivery.

Consistent message.

Give local teams the approved designs and materials your charity wants them to use.

Local ordering.

Let authorised branches and volunteers request supplies without head office handling everything.

Clear spending.

Keep the right oversight of team budgets, quantities and shared stock requests.

Help local fundraisers use the right materials.

Let users add permitted event dates, locations and contact details to approved campaign templates. They check a proof before ordering, while your design rules stay controlled.

Local teams can promote their activity without asking the central marketing team to rebuild every flyer or poster.

Explore the Artwork Builder

The right range for branches, shops and volunteers.

Fundraising teams need campaign print. Charity shops need signage and everyday materials. Other users may need branded clothing for events.

Show each group the products relevant to its work, with shared essentials available where needed. Authorised users can order without searching the entire catalogue.

Explore Product Visibility

Keep spending and stock requests under review.

Require sign-off for selected users, products, order values or artwork changes. Managers can check the quantities, costs and destinations before accepting a request.

Agree how purchases are allocated to teams and budgets, while suitable routine orders proceed automatically under your rules.

Explore Admin Order Approvals

Print centrally. Deliver where fundraising happens.

Split one order between branches and event addresses, choosing the quantities each location needs. Saved addresses make repeat campaign distribution easier.

Suitable regular materials can be bulk produced and held in our UK warehouses. Teams call off smaller batches, with live availability and low-stock notifications supporting replenishment.

Explore Split Deliveries

A fundraising campaign, ready for local teams.

An example of getting approved materials to branches and event organisers.

Prepare the campaign range.

Your central team adds the approved leaflets, posters and event materials. Relevant branches and organisers receive access to the range.

Choose local requirements.

Users enter permitted event details, check their proofs and select quantities. Orders follow your configured approval rules, or a central team allocates one order between locations.

Deliver and replenish.

We produce or dispatch the materials to the selected addresses. Teams return to the portal for further orders or call-offs from available stock.

Branches and fundraising teams

What is a Web2Print portal for a charity?

A charity Web2Print portal is a branded online ordering system for your approved print and branded materials. Authorised staff, branches and volunteers order from an agreed catalogue under your access and approval rules. Print Portals supports production, stockholding and delivery for the products purchased through the portal.

Can local branches order fundraising materials without head office placing every request?

Yes. Authorised users can select and order the catalogue products available to their accounts. Where local personalisation is permitted, they enter the relevant details and check a proof. Your configured rules decide which purchases proceed automatically and which require a manager to review them before production or dispatch.

Can volunteers have access to the materials they need?

Yes. Volunteers can have authorised user accounts with product access and ordering permissions configured around their responsibilities. Relevant products can be made available without exposing every range to every user. Your organisation decides who should be able to order and what approval is needed for their requests.

Can charity shops and fundraising teams see different products?

Yes. Product Visibility can show or hide categories and individual products by department, team, role, user group, location or named user. Shop teams might see signage and everyday stationery, while event organisers access campaign print and branded clothing. Shared products can also be made available to the appropriate groups.

What charity materials can we order through the portal?

Your agreed catalogue can include leaflets, posters, brochures, folders, stationery, signage, displays, branded clothing and merchandise. We review the products and specifications your charity uses before agreeing the range and pricing. The portal can hold both regular supplies and products for planned fundraising activity.

Can we manage access as staff and volunteers change?

Authorised administrators can manage user accounts and permissions through Account Access, including adding users in bulk and removing access when required. Permissions should be reviewed when someone changes responsibilities. Our team can help configure the relevant groups and ordering access for your charity’s setup.

Artwork and spending

Can local organisers add event details without changing our branding?

Yes. Artwork Builder templates can expose permitted fields such as dates, locations and contact details while keeping other design elements controlled. Users generate and review a proof before ordering. Your charity decides which parts can change, and customised orders can require sign-off where your process needs that review.

Can our central team update campaign artwork for future orders?

Authorised Artwork Managers can upload replacement PDFs, review print checks and approve updated catalogue designs. The replacement becomes available for future orders of that product. They can also organise folders and add new designs using preset specifications and pricing. Artwork already attached to an existing order remains with that order.

Can designers upload finished fundraising artwork rather than use a template?

Yes. Upload Your Own Artwork lets users select a preset product, upload a print-ready PDF and review the checks and preview before adding it to the basket. Checks include dimensions, page count, bleed and crop marks. Editable templates can remain available alongside upload-enabled products for routine local personalisation.

Can managers approve larger orders or stock requests before they proceed?

Yes. Approval rules can be configured around users, product categories, order values and Artwork Builder customisations. Approvers can review artwork, products, quantities, prices and delivery details before accepting or rejecting a request. Orders requiring approval remain on hold until accepted under your configured process.

Can costs be allocated to different teams and budgets?

Your portal can be configured around how purchases are paid for and allocated across relevant branches, departments, teams and budgets. Prepaid stock can appear at £0 for authorised call-offs, while other products show an agreed cost. We establish the account, reporting and approval requirements with you during setup.

Can we see who is using shared campaign stock?

Reporting can show who is ordering stock and where it is being delivered. Where costs are allocated to teams or budgets, reporting supports that agreed setup. Managers can also review requests under your approval rules and reject excessive or unnecessary use of shared materials before those requests proceed.

Stock, events and setup

Can we bulk buy fundraising materials and call off smaller quantities?

Suitable products can be produced in bulk and held in our UK warehouses. Authorised teams then request smaller batches as required. Live stock levels show what is available, and low-stock notifications support replenishment planning. We agree stockholding around your products, quantities and how often campaign artwork changes.

Can one order be delivered to several charity branches or events?

Yes. Split Deliveries lets users divide quantities of the same product between addresses or send different products to different destinations in one checkout. Select the relevant locations, assign the quantities and review delivery costs and any additional lead time before ordering. Addresses and allocations remain recorded with the order.

Can we save branch and organiser delivery addresses for repeat orders?

Yes. Users can select saved locations from the address book or enter a new address during checkout. This makes repeat distribution easier when you regularly supply the same branches or organisers. Users should check the delivery details and product allocation before submitting each order.

How do we plan materials for a fixed fundraising event date?

Share the date, products, quantities, artwork status and delivery destinations with our team so we can confirm achievable production and delivery arrangements. The portal helps organise the relevant range, quantities and locations. Allow time for any artwork or order approvals required before the request can proceed.

Is the portal free for charities to use?

Print Portals does not charge portal setup fees, an ongoing portal subscription or a per-user platform fee. Your charity pays for products and any applicable delivery or additional services under the agreed order arrangements. Product pricing and the catalogue setup are agreed before users begin ordering.

How do we set up a print portal for our charity?

We begin with your branches, users, campaign materials and current ordering process. Share your artwork, products and specifications so we can agree the range and pricing. We then configure access, templates, payment and approval requirements, review stockholding and delivery needs, and help your users become familiar with ordering.

Less time arranging materials. More time for your cause.

Tell us what your teams order and where they need support. We’ll build a free portal around your charity, with no setup fees or subscription.
