Your event display range
What is an event graphics ordering portal?
An event graphics ordering portal is a branded online catalogue for your approved banners, displays and exhibition graphics. Authorised users select products, review artwork and place orders under your rules. It brings agreed specifications, pricing, approvals and delivery details together, with Print Portals supporting production and fulfilment for the products you purchase.
Is the event graphics ordering portal free to use?
There are no portal setup fees, ongoing portal subscriptions or per-user platform fees. Your business pays for the display products and any applicable delivery or additional services. We agree your range and pricing before launch. Free portal access does not mean the graphics, hardware or fulfilment services are supplied without charge.
What event graphics can our catalogue include?
Your agreed range can include roller banners, fabric displays, backdrops, flags, event counters, posters, boards, printed table covers and supporting event print. We review the products, sizes, materials and hardware requirements before establishing the catalogue and pricing. Suitable options depend on your intended use and the events you attend.
Can sales, marketing and regional event teams order through one portal?
Yes. Authorised users can access the products relevant to their responsibilities within the same portal. Marketing might maintain the catalogue while sales and regional organisers order the approved range. Product visibility and approval responsibilities are configured around your organisation, allowing local ordering with central brand oversight.
Can different brands have separate display ranges?
Yes. Product Visibility can show or hide categories and products by team, department, role, location, user group or named user. Different brand ranges can sit alongside shared essentials in the same portal. This helps organisers select the appropriate designs without searching every display product your organisation uses.
Can we agree standard banner sizes and display specifications?
Yes. We establish the product formats, sizes, materials and available options around your requirements. Those agreed specifications and prices provide the starting point for future orders. A requirement outside the established range can be reviewed separately rather than assuming every size or display system is available under the same setup.
Can we order replacement graphics for existing display hardware?
Where a suitable replacement is available, we can agree a graphic-only product for the relevant display system. Share the hardware make, model, dimensions and fitting requirements so compatibility can be checked. Replacement artwork must match that specific system; a graphic should not be assumed to fit another stand simply because the advertised size is similar.
Can event print and merchandise sit alongside our graphics?
Yes. Your agreed portal catalogue can include brochures, flyers, business cards, merchandise and clothing alongside event graphics. Users select from the ranges available to them and follow your ordering rules. Different product types may have different production and delivery requirements, which should be considered when planning an event order.
Artwork and approvals
Can our designers upload finished exhibition artwork?
Yes. Upload Your Own Artwork lets permitted users choose a preset product, upload a print-ready PDF and review the checks and preview before adding it to the basket. We establish the artwork requirements for your agreed products, including any specific dimensions, scale or finishing instructions needed for the selected display format.
What does the automatic PDF check review?
The uploaded PDF is checked against the selected product’s configured requirements, including dimensions, page count, bleed and crop marks. Users review the results and preview before approving it. Large-format products can have specific artwork instructions, so use the requirements agreed for that product rather than assuming a standard small-format print setup applies.
Does uploading a display PDF automatically check image DPI?
The PDF upload checker does not currently provide an automatic image DPI assessment. Your designer should prepare images appropriately for the artwork scale, finished size and viewing distance. The separate Artwork Builder can warn about low-resolution images used in supported editable templates, but that does not mean uploaded PDFs receive the same check.
Can local teams personalise event details without redesigning a banner?
Where an editable template is configured, users can change permitted details such as an event name, contact information or other agreed local content. Other design elements remain controlled. Users generate and review a proof before ordering, and customised orders can require approval where your process calls for it.
Can marketing update a display design for future orders?
Authorised Artwork Managers can replace catalogue PDFs, review artwork checks and approve updated designs. The replacement becomes available for future orders of that product. Artwork already attached to an existing order stays with it, and changing the catalogue PDF does not update graphics already printed, dispatched or held in stock.
Can managers approve event graphics orders before production?
Yes. Approval rules can cover users, product categories, order values and Artwork Builder customisations. Relevant managers review the artwork, products, quantities, prices and delivery details before accepting or rejecting the request. Orders requiring sign-off stay on hold until accepted, so that review time needs to be allowed for in event planning.
Can event purchases be allocated to teams and budgets?
Your portal can reflect how your organisation pays for and allocates purchases across relevant departments, teams and budgets. Share your event purchasing requirements during setup so we can establish the account, reporting and approval arrangements. Different users or products can follow the purchasing process agreed for your business.
Will display colours exactly match our screen preview?
Screen previews cannot guarantee an exact printed colour match. Materials, print processes, lighting and any backlighting can affect the appearance of a display. We review your artwork, branding and product specifications with you. Where the uploaded-artwork preview uses a configured print profile, it remains a guide to the expected result rather than a physical colour proof.
Events, stock and delivery
Can an order be delivered directly to an exhibition or conference venue?
Tell us the venue, required delivery date, receiving arrangements and any booking or labelling instructions so we can confirm a suitable delivery plan. A venue may have specific access windows or nominated receiving points. Entering its address alone does not confirm that a timed event delivery or unloading service is included.
Can one order be split between several event or office addresses?
Yes. Split Deliveries lets you allocate ordered product quantities between addresses or send different products to different destinations in one checkout. Choose saved locations or add a new destination, assign the quantities and review charges and any additional lead time. Each address and allocation remain recorded with the order.
Can we save delivery addresses for regular event orders?
Yes. Users can choose saved locations from the address book rather than re-entering the same delivery details. New addresses can also be added during checkout. For venues, check the current receiving details and instructions each time, since the correct contact or delivery point may differ between events at the same location.
How do we plan graphics for a fixed exhibition date?
Share the event date, required arrival date, products, quantities, artwork status and delivery requirements early. We can then confirm achievable production and delivery arrangements. Allow time for artwork preparation, proof review and any internal approval. Newly produced graphics and items held in agreed warehouse stock may have different lead times.
Can you hold event materials in stock for later call-offs?
Suitable printed materials can be produced in bulk and held in our UK warehouses under agreed stockholding arrangements. Authorised users can request smaller quantities through the portal. We review the products, storage requirements and likely usage with you before agreeing which items will be held and how they can be called off.
Can teams see live stock availability for event materials?
Live warehouse feeds display availability for products covered by your stockholding arrangement. Low-stock notifications support replenishment planning. Check that the available design is suitable for the upcoming event before ordering, especially if messaging has changed. Products produced to order should not be assumed to be held in stock.
Can event graphics be dispatched internationally?
We support international dispatch under agreed arrangements. Share the destination, products, dimensions, quantities and event dates so we can confirm suitable options, charges and destination requirements. Large or specialist display products can have different shipping considerations from smaller printed items, so these need to be reviewed before an event deadline is committed to.
How do we set up an event graphics ordering portal?
Share your current display range, artwork, event schedule, users and ordering difficulties. We agree specifications and pricing, then configure catalogue access, artwork options, payments and approvals. Stockholding and delivery requirements are reviewed alongside those decisions. Contact our team to discuss your free event graphics ordering portal.
