Teams and ordering

What is a Web2Print portal for financial services?

A financial services Web2Print portal is a branded online ordering system for your organisation’s approved printed and branded materials. Users select from an agreed catalogue, personalise artwork where permitted and follow your order approval rules. Print Portals connects those requests with production, stockholding and delivery.

Can branches and advisers order without marketing placing every request?

Yes. Authorised users can order the catalogue products available to their accounts. Permitted artwork changes can be made within approved templates, with a proof to check. Your rules determine which orders proceed automatically and which need review, reducing manual coordination while retaining the oversight your organisation requires.

Can payment provider sales teams order print and merchandise through one portal?

Yes. Your agreed catalogue can bring printed materials and branded merchandise into the same ordering environment. Our anonymous international card payment provider case study describes how sellers gained an online place to purchase branded items, reducing the need for operations to be involved in every order. Its feedback focused on easier ordering, efficiency and responsive support.

What financial services materials can we order through the portal?

Your agreed range can include business cards, stationery, folders, brochures, posters, signage, event materials, branded clothing and merchandise. We review your existing products and specifications before establishing the catalogue and pricing. Your organisation supplies the approved artwork and decides which ranges each group can order.

Can different branches, brands or adviser groups see different products?

Yes. Product Visibility can show or hide categories and individual products by location, department, team, role, user group or named user. Separate ranges can sit alongside shared essentials within one portal. Authorised Artwork Managers can also organise folders and control which groups can see them.

Can we update user access when staff join, change role or leave?

Authorised administrators can manage accounts and permissions through Account Access, including bulk user additions and removing access when required. When someone’s responsibilities change, their catalogue access and ordering permissions can be reviewed. Our team can help configure the groups and access arrangements needed for your portal.

Artwork and order review

Can advisers personalise business cards without changing our branding?

Yes. Artwork Builder templates can allow permitted names, job titles, contact information and other agreed details to be edited while keeping design elements controlled. Users generate and review a proof before ordering. Customised orders can require sign-off where that is part of your configured process.

Can marketing control which parts of a template users can edit?

Yes. Templates are configured around your artwork and the editing permissions you agree. Your organisation decides which fields are available to users and which elements stay controlled. This gives users a practical way to personalise routine materials while maintaining the design choices established by your central team.

Can our team replace brochure and campaign PDFs for future orders?

Authorised Artwork Managers can upload replacement PDFs, review the print checks and approve updated catalogue designs. The replacement becomes available for future orders of that product. Artwork already attached to an existing order remains with that order, and printed warehouse stock should be considered separately when a design changes.

Can we upload finished artwork instead of using editable templates?

Yes. Upload Your Own Artwork lets permitted users choose a preset product, upload a print-ready PDF and review the checks and preview before adding it to the basket. Checks include dimensions, page count, bleed and crop marks. Your own team supplies and approves the content used in those files.

Can selected orders require sign-off before production?

Yes. Rules can be configured around users, product categories, order values and Artwork Builder customisations. Approvers review the artwork, products, quantities, prices and delivery details before accepting or rejecting a request. Orders requiring approval remain on hold until accepted, while suitable routine purchases can proceed automatically where configured.

Can different managers review orders for different user groups?

Approver permissions can combine user groups and product categories so review access reflects the requests each person should oversee. Multiple approvers can cover the same orders. Relevant approvers receive email notifications and weekday reminders for outstanding requests they can review.

Stock, spending and setup

Can orders be allocated to different teams and budgets?

Your portal can be configured around how purchases are paid for and allocated across relevant branches, departments, teams and budgets. Prepaid stock can appear at £0 for authorised call-offs, while other products show an agreed cost. We establish the account, reporting and approval requirements with you during setup.

Can we hold printed materials and merchandise centrally for call-off ordering?

Suitable products can be produced in bulk and held in our UK warehouses. Authorised users request smaller batches through the portal, with live stock levels showing availability. Low-stock notifications help plan replenishment. Stockholding arrangements are agreed around your products, quantities and frequency of artwork changes.

Can one campaign order be delivered to several branches or team locations?

Yes. Split Deliveries lets users divide quantities of the same product between addresses or send different products to different destinations in one checkout. Choose saved locations or add another address, then review quantity checks, delivery costs and any additional lead time. Each address and product allocation stays recorded with the order.

Can we track who is ordering shared stock and where it is going?

Reporting can show who is ordering stock and its delivery destinations. Where costs are allocated to teams or budgets, reporting supports that agreed setup. Managers can also review requests under your approval rules and reject excessive or unnecessary use of shared materials before those requests proceed.

Is there a portal subscription for each branch, adviser or user?

Print Portals does not charge portal setup fees, an ongoing portal subscription or a per-user platform fee. Your business pays for products and any applicable delivery or additional services under the agreed order arrangements. New location, user and catalogue requirements can be reviewed as your organisation develops.

How do we configure a financial services print ordering portal?

We begin with your teams, locations, materials and current purchasing process. Share your artwork, products and specifications so we can agree the catalogue and pricing. We then work through visibility, templates, payment and order approval requirements, review stockholding and delivery needs, and help users get familiar with ordering.

Give your teams a simpler way to order.

Tell us how your people buy their printed and branded materials. We’ll build a portal around your process, with no setup fees or subscription.
