Events and team ordering
What is a Web2Print portal for a tech or AI company?
A Web2Print portal is a branded online ordering system for your business’s approved print and branded products. Marketing, sales, people and events teams can order from an agreed catalogue using your artwork permissions and approval rules. Print Portals supports production, stockholding and delivery for the materials purchased through the system.
Can we order event print and merchandise through the same portal?
Yes. Your agreed catalogue can bring flyers, brochures, displays, business cards, branded clothing and merchandise into one ordering environment. We review the products and specifications you need before agreeing the range and pricing. Teams can then select from those established products rather than starting a new supplier search for every event.
Can sales, marketing and people teams see different products?
Yes. Product Visibility can show or hide categories and individual products by department, team, role, user group or named user. Sales might access business cards and collateral, while a people team sees staff clothing and welcome gifts. Shared essentials can also be made available to the relevant groups.
Can we order welcome gifts and clothing for new starters?
Your agreed catalogue can include branded merchandise, staff clothing and other welcome items your business chooses to supply. Authorised users can order the products available to them and select the required delivery address. We establish the product specifications, pricing and ordering permissions during setup.
Can event organisers reorder without marketing handling every request?
Authorised organisers can order directly from the catalogue made available to them. Existing product artwork and agreed specifications reduce the need to gather files and pricing again. Your configured rules determine which orders proceed automatically and which need a manager to review them before production or dispatch.
Can we add more users as our business grows?
Yes. Authorised administrators can manage accounts and permissions through Account Access, including bulk additions and removing access when needed. New users should receive the relevant product access and approval permissions for their responsibilities. Print Portals does not charge a per-user platform fee.
Artwork and control
Can marketing update sales collateral when our messaging changes?
Authorised Artwork Managers can replace catalogue PDFs, review the print checks and approve updated designs. The replacement becomes available for future orders of that product. They can also add new designs using preset specifications and pricing. Artwork already attached to an existing order remains with that order.
Can staff personalise business cards without changing our brand design?
Yes. Artwork Builder templates can allow permitted names, job titles, contact information and other agreed fields to be edited while keeping design elements controlled. Users generate and review a proof before ordering. Customised orders can require approval where your business wants a review step before production.
Can our designers upload finished launch or event artwork?
Yes. Upload Your Own Artwork lets users select a preset product, upload a print-ready PDF and review the checks and preview before adding it to the basket. Checks include dimensions, page count, bleed and crop marks. This can sit alongside editable templates used for routine staff personalisation.
Can we restrict which users can access a particular campaign range?
Yes. Product Visibility can control access to categories and individual products for selected groups or users. Authorised Artwork Managers can also organise catalogue folders and choose their visibility. Your team decides who should be able to order each range, and the permissions are configured around those responsibilities.
Can larger orders or customised artwork require approval?
Yes. Approval rules can be configured around users, product categories, order values and Artwork Builder customisations. Relevant managers can review the artwork, products, quantities, prices and delivery information before accepting or rejecting a request. Suitable routine purchases can proceed automatically where configured.
Can purchases be allocated to different teams and budgets?
Your portal can be configured around how your business pays for and allocates purchases, including relevant departments, teams and budgets. Some materials may be funded centrally, while other purchases follow different agreed arrangements. We establish the account, reporting and approval requirements with you during setup.
Stock, delivery and setup
Can you store our branded merchandise and print in the UK?
Suitable products can be produced in bulk and held in our UK warehouses. Authorised teams then call off smaller quantities as needed. Live stock feeds show what is available in the portal, and low-stock notifications support replenishment planning. We agree stockholding around your products, quantities and frequency of artwork changes.
Can remote teams receive orders at their own delivery addresses?
Users can select a saved delivery location or enter a new address during checkout, under the ordering arrangements agreed for your portal. That can support offices, team locations and individual delivery addresses. We also support international dispatch, with destinations, products, charges and delivery arrangements agreed around your requirements.
Can we split one order between offices and event locations?
Yes. Split Deliveries lets you allocate quantities of the same product between addresses or send different products to different destinations in one checkout. Users review quantity checks, delivery costs and any additional lead time before ordering. Each address and allocation stays recorded with the order.
How do we plan print and merchandise for a fixed event date?
Share the date, products, quantities, artwork status and delivery locations with our team so we can confirm achievable production and delivery arrangements. Existing warehouse stock and newly produced items can have different requirements. Allow time for any artwork and order approvals needed before your request can proceed.
Does the portal have setup fees or an ongoing subscription?
Print Portals does not charge portal setup fees, an ongoing portal subscription or a per-user platform fee. Your business pays for products and any applicable delivery or additional services under the agreed order arrangements. Product pricing and the ordering setup are agreed before your catalogue goes live.
How do we set up a portal for our tech or AI business?
We begin with the materials your teams buy, your artwork and the problems in the current process. We agree product specifications and pricing, then configure access, templates, payment and approval requirements. Stockholding and delivery arrangements are reviewed alongside those needs before helping your users get familiar with ordering.
Spend less time arranging materials. Get back to your launch.
Tell us what your teams buy and where ordering gets complicated. We’ll build a free portal around your business, with no setup fees or subscription.
